Electronic signature compliance

Electronic signatures are widely recognized, and legal is only the start. The stronger question is whether the process can show who agreed, what they saw, how they expressed intent, and whether the final file stayed intact.


01 · Start with the transaction

Start with the transaction

Before you pick a signature method, name the document, the parties, the governing law, and any industry rule that applies. A low-risk commercial approval can need a different level of assurance than a consumer disclosure or an instrument a statute reserves for a notary. inSigner does not choose that level for you, and this page does not make a workflow compliant.

02 · Choose assurance

Choose assurance

Email possession, a one-time code, an identity check, and a qualified certificate create different signals. Use the one the risk calls for. Extra friction without a reason can lower completion and add little evidence. A standard electronic signature in inSigner is not a qualified electronic signature. QES for Europe is an Enterprise option, priced separately.

The best signature workflow is not the strongest possible workflow. It is the right level of assurance for the agreement in front of you.

03 · Design consent

Design consent

Say, in the document the person sees, that they can sign electronically and what they are agreeing to. Consent to electronic delivery, if a law requires it, belongs in that document or in a step your counsel writes. The product can collect a signature on the PDF you upload. It does not invent a disclosure you left out.

  • Can we show the signer's intent?
  • Was electronic delivery disclosed, if the law requires that disclosure?
  • Can we attribute the action to the person?
  • Is the final file intact, and can the team still open it?

04 · Preserve evidence

Preserve evidence

Keep the invitation, the signature events, and the completed PDF together. The completion record includes a SHA-256 hash of the final file. If the file changes, the hash no longer matches. SHA-256 is an integrity check, not a claim about encryption. Store the PDF and the record in the same matter file your team already uses.

05 · Review exceptions

Review exceptions

Some documents still need a wet signature, a witness, a notary, or a form a registry publishes. Country pages on this site name the public rule they discuss. They do not say that a document from that country can be signed here. Ask counsel before you send a document that a statute treats as special.
